KEY RESPONSIBILITIES

Month-End Close & Reporting

  • Drive the close checklist and calendar; target internal draft by BD12 (vendor standard reports by the 20th).
  • Review and assemble workpapers (bank/credit-card recs, AR/AP roll-forwards, prepaids, accruals, fixed assets) for CFO review.
  • Maintain class tracking and ensure proper accrual-basis entries; manage deferred revenue roll-forward.
  • Deliver a concise management pack (P&L/BS/CF + variance notes) once vendor reports are received.

Bookkeeping & Vendor Management

  • Oversee coding and reconciliations (≈675 transactions/month; 3 bank/credit accounts) performed by the vendor; monitor quality and exceptions.
  • Operate an issues log; enforce an SLA of <24-hour response time; run a 30-minute weekly stand-up with the vendor.
  • Maintain the chart of accounts, classes/departments, items/SKUs, and document retention standards.

Payroll Oversight (Vendor-Processed)

  • Own employee changes, approvals, and audits for biweekly payroll (~32 employees); reconcile GL payroll postings to payroll reports.
  • Ensure vendor filing of 940/941, SUI, FUTA, W-2/W-3; coordinate workers’ comp and 401(k) contributions and audits.

  • Manage the approval matrix and biweekly payment calendar; review AP aging and exceptions; capture early-pay discounts.
  • Oversee vendor onboarding, W-9 collection, and 1099 tracking.

Receipt Management (Dext) & Expense Control

  • Drive compliance: monitor receipt match rates, follow up on missing documentation, and coach teams on the mobile app.

AR, Invoicing & Collections

  • Ensure invoicing cadence and deposits/progress billing for custom orders; tie deposits to invoices and maintain AR aging with next-action notes.

Inventory & COGS Discipline

  • Reconcile inventory and COGS monthly by tying FileMaker/operational reports to the GL.

Cash Management & Controls

  • Publish a daily cash snapshot and maintain a 13-week cash workbook for CFO review.
  • Prepare weekly payment runs for dual approval and manage banking/finance system permissions.

Compliance

  • Coordinate CA/NY sales-tax data with the vendor; review and approve returns; track payments.
  • Support year-end financial statements and the CPA’s PBC list.

Systems & Projects (Near-Term Priorities)

  • Lead the conversion from QuickBooks Desktop to QuickBooks Online Plus and ensure role-based access.
  • Implement and maintain Dext, AP management applications, and Gusto payroll integrations; document processes.

QUALIFICATIONS

  • 3–6 years of experience in accounting or finance operations (wholesale/retail or light manufacturing preferred).
  • Strong month-end fundamentals (reconciliations, accruals, prepaids) and comfort with inventory and COGS.

Order Lifecycle Management

They should have strong product development experience in rugs, textiles, or adjacent categories (home, apparel, accessories), and the ability to translate a client’s vision into a clear, executable production plan.

This is a highly cross-functional, communication-driven role that requires judgment, autonomy, and a proactive approach to finding solutions.

KEY RESPONSIBILITIES

  • Client & Sales Partnership
    • Act as the primary Production point of contact for all bespoke rug inquiries, from initial concept through delivery.
    • Meet weekly with Sales to review development status and address roadblocks.
    • Review order details with Sales to ensure the client’s expectations, vision, and constraints are fully understood.
    • Provide Sales with accurate timelines, development milestones, and production updates to support confident client communication.

  • Design & Product Development Alignment
